AIG TECHNOLOGY'S DISASTER RECOVERY PROGRAMS

An organization’s business process may be interrupted by a number of risk factors such as natural disasters, computer viruses, computer and telecommunication failures, employee sabotage, and labor force strife. Any one of these risk factors can lead to substantial financial losses in the areas of business continuity, business image, quality of service and profitability.

AIG TECHNOLOGY, INC. (AIGT) recognizes the critical nature of the documents printed using Doc e Serve applications. AIGT offers several options for your organization in the event of a disaster. AIGT can assist your organization with anything from application(s) backup, included under our normal Guaranteed Service Agreement, to a tested and certified Advanced Disaster Recovery Program to insure uninterrupted check or form distribution. Whatever the level of desired service, AIGT possesses the technical expertise to provide our customers with a high level of security in the event of a disaster.

AIG TECHNOLOGY Standard Disaster Recovery

(Provided under standard Guaranteed Service Agreement: no additional charge)

  • AIG TECHNOLOGY maintains a “live” or “hot” back up copy of your Doc e Serve applications at our Columbia, S.C. location, as well as an additional off-site location nightly.

  • The applications are backed up at the time of service by AIGT technicians.This is standard procedure. Any and all alterations by AIGT technicians to the applications are maintained and on file. If the customer has the Doc e Serve Development program (Input Mapping and Design), it is the customer’s responsibility to contact AIGT to upload changes if any are made internally.

  • If the customer has altered any of the applications internally, AIGT may not be maintaining the most current applications on file. Any changes to the applications made by the customer and not forwarded to AIGT for upload do not fall under this agreement.

  • This agreement provides the “live” back up copy of the Doc e Serve applications. HOWEVER, it does not include the restoration of those applications to the customer’s PC if such services are required.Normal Professional Service Fees will apply at $995.00 per day for remote service and $1495 for onsite assistance.

AIGT maintains a generator, modem lines, FTP capability, two T1 lines, and Internet access to provide multiple means of data transmission in the event of a disaster.

AIG TECHNOLOGY Advanced Disaster Recovery Program

$1495.00 annual subscription

With the subscription of an Advanced Disaster Recovery Program from AIG Technology, clients will have access to additional Disaster Recovery Services if needed and will receive priority attention.

The Advanced Disaster Recovery Program includes the following program certification on an annual basis:

  • Verification of customer document usage volumes to assure an adequate supply at AIGT for any emergency runs.

  • Annual verification of customer equipment to assure appropriate AIGT equipment for timely processing of emergency document runs.Customer will receive information on AIGT’s current hardware specifications (i.e. document speed, number of printers, number of sealers, etc.).

  • AIGT will download a test file from the customer’s location or back up location in one or multiple ways to AIGT’s office in Columbia, S.C. to assure data transfer modes are available and tested. AIGT will provide customers with written documentation on how to affect the data transfer.

  • AIGT will print, seal and distribute sample documents to customer for verification.

  • AIGT will test the quality of the documents stored at AIGT’s warehouse to assure the documents are within their shelf life.Documents will be rotated throughout the year to maintain high quality.

  • AIGT will provide a certified report of inventories, available equipment and results of test runs completed.

  • AIGT will participate in any Customer Checklist Tests to determine if the information such as contact information, manuals, documentation and equipment is accurate and current.

Additional Capabilities and Features to Advanced Disaster Recovery Program Subscribers:

  • AIGT inventories an adequate supply of standard check/form stock in our Columbia, S.C. facility, as well as our Fairhope, A.L. warehouse.

  • AIGT owns equipment including: computers, high-speed laser printers and sealing equipment to process customer output in the event of a disaster.

  • AIGT maintains a generator, modem lines, FTP capability, two T1 lines and Internet access to provide multiple means of data transmission in the event of a disaster.

  • AIGT employs a talented team of professionals with experience in the following areas: hardware, software, workflow, and document distribution experience.Our experienced Business Recovery Team assures that document runs are completed accurately and within the required time frames.

AIG TECHNOLOGY Advanced Disaster Recovery Program

Fees and applicable costs listed below:

AIGT’s Advanced Disaster Recovery Program is available to all customers under a current GSA maintenance contract.These services include downloading the data file from the client’s site, processing the application, laser printing, folding and sealing (if necessary) and shipping or mailing to the recipients. In the event of a disaster, AIGT will begin processing Customer’s documents within sixteen (16) hours of receipt of the data files.

The client will be responsible for the annual Advanced Disaster Recovery Program fee ($1495.00), as well as consumable costs at $.10/docment, shipping or mailing costs, and any overtime that may occur.As a subscriber, there will not be any processing (standard labor) charges during the first thirty (30) days following the disaster and AIGT will process as many runs as necessary during the first thirty (30) days.

Any runs required thirty (30) days after the disaster will be handled with an additional processing charge per document.

Backup of Clients Doc e Serve System

AIGT will maintain a duplicate backup of the client’s Doc e Serve System on site at AIG Technology. If the customer has the Doc e Serve Development program (Input Mapping and Design), or if the customer alters the applications in any way, it is the client’s responsibility to contact AIGT to upload changes if any are made.

Data File

AIGT will have access to the data file. The customer can allow AIGT to dial in via PC Anywhere or e-mail the data file to AIGT.

If the customer is in an area that processing may be interrupted by a natural disaster (hurricane, tornado, snow storm, etc.), the customer may transfer the file to AIGT before leaving the customer site. AIGT will process the file when contacted by the customer.

Processing the Application

AIGT will process the application after receiving the data file. Additional charges may result if the data file is different than the original application stored.

Normal Business Hours

AIGT’s regular business hours are 8:00 a.m. to 5:30 p.m. The customer will be responsible for any overtime that may occur due to the customer’s disaster recovery needs. The customer will be billed at $125.00 per hour for overtime. Holiday or weekend overtime hours will be billed at $175.00 per hour.

Forms Processing

AIGT maintains an inventory of the stock forms we offer to our customers in two locations; Columbia, S.C. and Fairhope A.L. If the customer requires a custom form that is not in AIGT’s inventory, it may be necessary for the customer to ship or deliver their documents to AIGT for processing.

Although AIGT maintains an inventory of stock forms offered to our customers, AIGT may need to substitute a color or size to complete processing.

Payroll Disaster Recovery

If the customer requests Disaster Recovery for payroll but is unable to provide the most recent payroll file, AIGT will process the latest file available. The Doc e Serve System Administrator for the customer must provide in writing to AIGT the approval to modify the records in the file. With proper approval, AIGT can modify dates, amounts, or any other information that is requested for change by the customer.
